Thanks for the recommendations. I think that with the Reference number telling me if it has been used I may have a partial solution.
I did find one photography "filing" app called ACDSee that works real close to what I want. It shows you a thumbnail of each file with 4 smaller thumbnails embedded in it of the contents of the file. You can batch rename with numbers added as well. It also lets you preview the files and handles video files as well as photo files. I will check some of the recommendations from here and also compare to the trial app and see what works best.

Naming files in the bin

Is there a way in the Edius bin to rename a block of files with the same name and have a numerical value added to the end?
For instance. In my wedding productions I will frequently make a dance montage of the fun dancing. Instead of wading through all my clips with the same file name I like to have them numbered. Before switching to HDV and CanopusHQ I would use scenalyzer on my SD files. It had the feature to name a file and if there was a file with the name already it just added a 0001 after it. This means that for my dance video I may have 150+ clips. I could highlight all of them at once, change one of them to "dancing" and then when I saved Scenalyzer would name all the clips "dancing0001","dancing0002","dancing 0003" etc. Is there an easy way to do this in the Edius Bin. I like them numbered because I can make a simple spreadsheet listing all 150+ clips and then mark them off as I use them....that way I don't accidentally use clips twice in the same video.
I have been trying to use Adobe Bridge to do this function but it is not as user friendly as I would like but usable.
If anyone has other ideas of how to achieve this I am open to idea.
This one is free:

I did not see the last of your comment if you set up the Bin by right clicking the area where the column names are and select "Timeline Reference Count" Edius will tell you how may times the clip is on the timeline

maybe too many steps, and not exactly what you asked, but what about:
find the files on the hard drive and use Windows Explorer to rename them as you did in scenalyzer,
then delete them from the bin,
and then reimport them into the bin all at once?
